Habitat for Humanity of Kent County seeks to fill the position of Executive Assistant. The Executive Assistant position performs administrative duties and other tasks for the Executive Director that facilitates the Director’s ability to effectively lead the organization. The Executive Assistant supports the Director of Development with administrative tasks and assists with special projects to ensure the overall goals of the department are achieved.
This position is a full-time, non-exempt position at 40 hrs. per week. The EA will report directly to the Executive Director of the organization.
Uses creative problem-solving skills to proactively plan, coordinate, and ensure the Executive Director (ED), and Director of Development’s (DD) schedules are followed and respected. Provides support to the ED and DD with special projects and scheduling. Meets weekly with the ED and DD for purposes of work planning and prioritizing. Plan accommodations and travel arrangements.
Schedules, plans and prepares for board, committee, major donor and stakeholder meetings; prepare agendas and meeting materials; ensure location is reserved and prepared; take notes, prepare, and distribute meeting minutes for ED and DD. Coordinates and attends Donor Development/Campaign Committee meetings. Coordinates weekly Resource Development team meetings and creates agendas.
Follows up on contacts made by the ED and DD and supports the cultivation of ongoing relationships. Provides communications from the ED’s office to internal departments and staff; drafts letters to board members and stakeholders; and sends acknowledgement letters to donors. Provides input and support for initiatives that help encourage and grow top level individual donors. Attends weekly Donor Prospect Meetings.
Researches, prioritizes, and follows up on incoming issues and concerns addressed to the ED and DD, including those of a sensitive or confidential nature. Provides solutions for appropriate course of action, referral, or response.
Provides support with office tasks and errands for ED and DD; completes expense reports; and assists in keeping the executives organized.
Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
Expert level written and verbal communication skills.
Demonstrated proactive approaches to problem-solving with strong decision-making capability.
Emotional maturity, unflappable.
Highly resourceful team-player, with the ability to also be extremely effective independently.
Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.
Completion of 2-3 years of college coursework in business or a related field preferred.
Progressively responsible administrative office experience, 2-5 years as an Executive Assistant in a non-profit organization preferred.
Proficiency in Microsoft Outlook, Word, Excel, Power Point and OneNote and the ability to learn on various applications
Regular attendance is required.
